How to Check Every Reference in Your Thesis Without Losing a Weekend

Verifying a 120-entry bibliography one Google search at a time is a weekend you don't have. Here's a triage method for checking references in a thesis or dissertation efficiently.

Checking one citation is easy. Checking one hundred and twenty is a different problem entirely.

A thesis bibliography accumulates over years. Some entries you typed yourself from the PDF. Some came from a reference manager that imported metadata from a preprint server. Some were copied from another paper's reference list — including, possibly, that paper's typo. A few came from a draft chapter you wrote before you had a system. If you're about to submit, you probably suspect that a handful of those entries are wrong, and you have no idea which handful.

Searching each one manually takes about two minutes if nothing goes wrong. For 120 references, that's four hours of tab-switching — and attention drops off badly around entry thirty, which is exactly when errors start slipping past. The better approach is triage: sort your list by risk, then spend your effort where errors actually live.

Sort your references by where they came from

Before checking anything, group your bibliography into three buckets based on provenance.

Low risk: entries you exported directly from a publisher page, PubMed, or a DOI resolver into your reference manager. The metadata came from the source of truth. These are rarely wrong, though they're often incomplete.

Medium risk: entries you typed by hand, inherited from a co-author, or copied from another paper's reference list. Human transcription introduces year slips, initials in the wrong order, and volume/issue confusion. The paper exists; the record is imperfect.

High risk: anything that passed through a chatbot. If you ever asked ChatGPT, Claude, or Gemini to suggest literature, summarize a field, or reformat a reference list, treat every one of those entries as unverified. Language models generate references that are statistically plausible rather than retrieved, so a fabricated entry looks exactly like a real one — correct-sounding journal, believable authors, plausible year. Reformatting is riskier than people expect too: a model asked to convert a list to APA can silently "correct" a year or complete a truncated title with an invented one.

Your high-risk bucket is usually small. It's also where nearly all of your fatal errors are.

Check the fields that fail independently

A citation isn't right or wrong as a unit. It has five fields that can each be wrong on their own: author, title, year, journal, and DOI. The common failure is a mismatch — a real paper attached to the wrong year, or a real DOI pointing at a different article than the one you named. That kind of error survives a casual glance because most of the entry checks out.

So verify field by field rather than by impression. Resolve the DOI and confirm the page it lands on matches your title and your author list and your year. If any single field disagrees, the entry needs fixing even though the paper is real.

Distinguish "not found" from "not real"

When an entry doesn't surface, resist the urge to delete it immediately. Unfound is not the same as fabricated. Book chapters, conference proceedings, older pre-1990 work, non-English scholarship, and grey literature are all genuinely under-indexed. A missing entry means you can't confirm it yet — the next step is checking a library catalogue or the original PDF, not assuming the worst.

Fabricated entries usually announce themselves differently: the title returns nothing anywhere, the DOI fails to resolve, and the author has no adjacent publication record in that field.

Do the sweep automatically, then review by hand

For a full bibliography, the sensible division of labour is machine-first, human-second. Automated checking is good at the mechanical part — resolving every DOI, matching titles against indexed literature, flagging metadata that disagrees. You're better at the judgment part: deciding whether a flagged conference paper is real, or whether a source actually supports the sentence it's attached to.
