
Checking References in APA, MLA, and Chicago: Formatting Is Not Verification
A perfectly formatted reference can still point to a paper that doesn't exist. Here's what each citation style shows, what it hides, and how to check that your references are actually real.
Style guides are very good at telling you where the commas go. They say nothing at all about whether the paper you're citing exists. That gap is where most reference problems live: an entry passes every formatting rule in the manual, sits neatly alphabetized in your bibliography, and points to an article no library can find.
If you're checking a reference list before submission, it helps to separate two questions that feel like one. Is this reference formatted correctly? is a style question. Is this reference true? is a factual one. Word's citation tools, reference managers, and most proofreaders answer only the first.
What each style actually gives you to check
The three common styles expose different amounts of verifiable information, which changes how easy each one is to check.
APA is the most helpful. A full APA journal reference includes authors with initials, year, article title, journal, volume, issue, page range, and — for anything recent — a DOI. That DOI is the single most useful field in any reference list, because it either resolves to the exact paper or it doesn't. APA gives you a built-in test.
MLA is harder. It emphasizes container and location, often lists a URL rather than a DOI, and abbreviates less consistently across editions. A reference can be complete by MLA standards while containing no unique identifier at all, which means verification falls back to matching title and author text.
Chicago splits the difference and adds its own complication: notes-bibliography style spreads details across footnotes and the bibliography, so an error can appear in one place and not the other. Author-date Chicago behaves more like APA.
The practical consequence: an MLA or Chicago-notes list needs more scrutiny per entry than an APA list, simply because there's less machine-checkable information in each entry.
Errors that formatting checks will never catch
These are the failures worth hunting for, none of which are style violations:
- The paper doesn't exist. Most common when part of the reference list came from a chatbot, or from a draft where you wrote a placeholder and never went back.
- The DOI belongs to a different article. Copy-paste drift, usually from a browser tab that had moved on.
- The year is wrong by one. Online-first publication in one year, issue assignment the next. Extremely common and almost never noticed.
- The journal name is wrong. Preprint servers and repositories get recorded as the venue, or a similarly named journal gets swapped in.
- An author is missing or misspelled. Often introduced when a long author list gets truncated during import.
Only the first is dramatic. The rest are ordinary, and they're the ones that make a reader unable to find your source.
A workable checking order
Rather than reading your bibliography top to bottom, sort it by how checkable each entry is.
- Entries with a DOI. Resolve the DOI and confirm the title and first author match what you wrote. This is fast and definitive.
- Entries with no DOI but a specific title. Search the exact title in quotation marks. If nothing comes back, treat it as unverified rather than assuming a search failure.
- Books, chapters, and reports. Check the publisher and year against a library catalogue; edition changes are the usual source of error.
- Anything you can't remember reading. Trust that instinct. Entries you can't picture in your own notes are disproportionately likely to be wrong.
Then, and only then, run the style check. Fixing formatting on a reference you're about to delete is wasted work.
Verify first, format second
The order matters more than it seems. Formatting is cheap to correct at any stage — a reference manager can restyle an entire bibliography in seconds. A reference that points at nothing has to be replaced, which means finding a real source and possibly rewriting the sentence it supports. That work needs time you won't have the night before a deadline.
